Ordering a custom boardroom table is a different process than buying furniture off a showroom floor. There's no catalogue to scroll through, no stock number to add to a cart. What you're commissioning is a one-of-a-kind piece — built to the exact dimensions of your room, in a wood species that suits your space, with the features your team actually needs.
At the.Boardroom, we've taken that process and made it as straightforward as possible. Here's exactly how it works, from first contact to installation day.
Step 1 — Start with Your Room, Not the Table
The single most common mistake organizations make when ordering a custom boardroom table is starting with aesthetics before they know their constraints. Before you think about wood species or epoxy colours, you need three numbers:
Room length and width. Your table needs breathing room on all sides — a minimum of 48 inches of clearance between the table edge and any wall, door, or cabinetry. Less than that and chairs can't pull out comfortably, and people can't pass behind seated colleagues.
Door and hallway clearances. A 20-foot table doesn't arrive assembled. It ships in sections and is assembled on-site. But your access points still matter — particularly for stairwells, elevators, or narrow corridors that the sections need to pass through. Knowing these in advance avoids surprises on delivery day.
Seating count. Industry standard is 24–30 inches of table length per person. A 10-person table works at 10ft; 16 people need closer to 14ft; a 20-person configuration typically needs 18–20ft. Width also plays a role — our standard depth is 4ft, which allows comfortable seating on both sides and adequate space for laptops, notepads, and shared materials.

Step 3 — Choose Your Wood Species
Once we've aligned on dimensions, wood species is the next major decision. It's the choice that most determines the look and character of your finished table.
Solid Maple
Maple is one of our most requested species for large-format boardroom tables. It's light in tone, tight in grain, and exceptionally stable at long lengths — which is why it was the right choice for our 20ft build for Canadore College and our 21ft build for Peak Products Canada. If your boardroom has warm tones, natural light, or a contemporary interior, maple is almost always the right call.

Black Walnut
Black walnut brings depth, warmth, and an unmistakable executive presence. Its rich chocolate tones and natural grain movement create a table that makes an impression before anyone sits down. Walnut is the wood of choice when the boardroom itself is meant to signal something — authority, permanence, craftsmanship. Our builds for Aurora Glass, Polaris, and 4Point Management all used black walnut, each with a different epoxy river configuration.

White Ash
White ash is an architectural wood — neutral, tight-grained, and versatile. It adapts to traditional and modern interiors equally well, and it scales beautifully. Our 22ft × 14ft hollow rectangular table for ETFO (the Elementary Teachers' Federation of Ontario) was built in white ash with custom metallic trim inlay, and it remains one of our most referenced large-format builds.

Step 4 — Decide on Your Customizations
This is where the table becomes distinctly yours. The.Boardroom offers a full range of build features that can be combined however your project requires.
Epoxy River Inlay
An epoxy river turns a beautiful boardroom table into a conversation piece. A channel runs the length of the table between two solid wood slabs, filled with coloured epoxy resin. The result is dramatic, permanent, and completely unique.
Epoxy colour is fully customizable — we've poured clear, black, navy, turquoise, and custom brand-matched colours. River width, pour style (solid, gradient, translucent), and depth can all be specified. If you're considering an epoxy river and aren't sure what colour suits your space, share reference photos of your interior and we'll advise.
Integrated Power Ports
Modern boardrooms need power at the table. We integrate flush-mount power ports directly into the tabletop — AC outlets, USB-A, and USB-C — routed through the table structure for clean cable management. Ports are positioned at intervals along the table to serve every seat without surface clutter.
Power ports were included in our build for 4Point Management and are available on any table in our portfolio.
Custom Legs and Bases
Leg style shapes the overall character of the table as much as the wood does. We fabricate custom steel bases — flat bar, box tube, A-frame, and bespoke configurations — and finish them in any powder coat colour. Matte black is the most requested, but we'll match your interior or brand palette.
Solid wood bases are also available for a warmer, more traditional aesthetic.
Integrated Logos and Branding
Your organization's logo can be embedded directly into the table surface — CNC-routed into the wood and filled with contrasting epoxy, or inlaid as a decorative feature at the centre or end of the table. It's a detail that turns a boardroom table into a branded asset.

Edge Profiles and Inlays
Straight edge, rounded edge, live edge, bevelled edge — the profile of the table's perimeter is a finishing detail that has a significant impact on how the piece reads in the room. Metallic trim inlays (as featured on the ETFO ash table) are also available for tables that require a more formal or institutional character.
Table Shape
Most boardroom tables are rectangular. But we also build hollow rectangular configurations (for large groups where visibility across the table matters), boat-shaped tables, and custom footprints for non-standard rooms. Describe your room and your meeting format and we'll recommend the right shape.
Step 5 — Review Your Quote and Confirm the Build
Once we have your dimensions, species selection, and feature list, we send a detailed quote that includes:
Full specification of the table (dimensions, species, features, finish)
Slab preview images where available
Itemized pricing
Production timeline from deposit to delivery
Delivery and installation scope
We review the quote together, make any adjustments, and once you're satisfied with every detail, we take a deposit to secure your place in the production schedule.
No build goes into the shop until the specification is finalized and confirmed in writing. There are no surprises mid-build.
Step 6 — Production
Every the.Boardroom table is built from scratch in our Canadian shop. The production sequence for a typical custom boardroom table looks like this:
Slab selection and milling. We pull or source your chosen species, mill it flat, and dry it to the correct moisture content for your climate. Proper moisture equilibration is what prevents warping and cracking over the life of the table — it's not a step that can be rushed.
Joinery and shaping. Slabs are joined, shaped to your specified dimensions, and profiled to your chosen edge detail.
Epoxy pour (if applicable). The river channel is routed, sealed, and poured in layers — typically multiple pours over several days to build depth and eliminate air bubbles. Each layer cures before the next is added.
Sanding and finishing. The table is hand-sanded through progressively finer grits. Finish is applied in multiple coats — hardwax oil or catalyzed lacquer depending on the look and durability requirements of your build.
Base fabrication and hardware. Steel legs are welded, ground, and powder-coated. Power port hardware is sourced and staged for installation.
Final assembly and QC. The table is assembled, levelled, and inspected before packaging for delivery.
Production timelines vary by build complexity. Most conference table builds complete in 6–10 weeks from deposit. Large-format builds (18ft+) or tables requiring significant slab sourcing may run 10–14 weeks. We communicate proactively throughout production with status updates and photos.
Step 7 — Delivery and Installation
The.Boardroom delivers and installs. We don't hand the table off to a third-party freight carrier and leave you with assembly instructions.
Your table is delivered to your location, assembled on-site, levelled, and positioned exactly where it needs to go. Power port connections are made if applicable. We take the packaging with us.
For large-format tables — our 20ft and 21ft maple builds, our 22ft ash table for ETFO — installation typically takes a few hours with our crew. The table is ready to use the same day.

Every table is quoted individually — there's no price list because no two builds are the same. That said, here are honest general parameters:
A solid wood boardroom table in the 10–14ft range typically starts in the $7,000–$9,000 range depending on species and features. Walnut runs higher than maple due to slab cost. Epoxy river inlays, power ports, custom leg fabrication, and logo integration each add to the base price.
Large-format tables (18–22ft) and complex configurations — hollow rectangulars, custom shapes, full technology integration — are quoted individually and priced accordingly.
